HOSTEL OCCUPANCY AGREEMENT
1.0 TERMS AND CONDITIONS OF ASSIGNMENT
1.1 Alteration of the Accommodation Application/Contract, Forgery, Misinterpretation or any fraudulent action made to obtain an assignment which contradicts the allocation requirements as express in this agreement are subject to Hostel Disciplinary Action. This includes the loss of the privilege to reside in the chosen unit and expulsion. Applicants are encouraged to report evidence of fraud and dishonesty to the Facility Manager.
1.2 Room allocation could be single or shared. Single allocation means single occupant in the room. Shared allocation means that the chosen room will be shared equally with other occupants of the room. Occupants in shared rooms have equal privileges.
1.3 Should a vacancy subsequently occur in the selected living unit at any time, the Hostel reserves the right to assign an additional resident to fill the vacated space in that unit.
2.0 TERMS OF OCCUPANCY
This agreement is for a space in the hostel (not a particular room or bed). It remains in effect in the event of official room change. Residents are expected to conduct themselves in a manner that demonstrates due regard for other residents and guests. All rules of the Hostel, including those contained in the University’s regulation are incorporated in this agreement.
2.0 OCCUPANCY PERIOD
3.1 This agreement shall be for a period not more than one (1) academic year of nine and half months unless approved by the Facility Manager. It begins on the (beginning of the academic year and ends on the last day of the academic year) move-in-date in effect for the occupant resident and ending at the published time on the move-out date in effect for such occupant resident or within 72 hours after his or her last day of occupation, whichever comes first. In the case of Student Occupant, the occupancy period does not include any intercession periods when his/her institution is officially closed. Occupants (Short Stay) are requested to state their move-in and move-out dates on the Short Stay attached allocation form and such dates shall be deemed incorporated in this agreement. Failure to move out within the prescribed period or following withdrawal will result in a GH¢50.00 per day fine, plus daily rental fees. In either case the Hostel will not be responsible for resident belongings and reserves the right to confiscate and dispose of belongings left behind.
3.2 Any occupant who wants to extend his/her occupancy beyond the agreement period shall notify the Facility Manager not less than two (2) weeks prior to the expiration of the existing agreement. Failure to provide adequate notification within the prescribed period will result in a GH50.00 fine before such renewals will be effected.
4.0 CANCELLATION / TERMINATION OF AGREEMENT
4.1 A resident may cancel this agreement with written notification only prior to a Hostel accommodation being assigned by the facility Manager. After a Hostel assignment has been made, agreement and financial obligations cannot be cancelled by the resident. A resident may request and be given an early Termination of the agreement but only for the following reasons and under the circumstances stated.
1. Sickness
2. Emergency at home
3. Full – time intention or job placement that requires off – hostel housing.
A resident who leave the hostel must terminate the occupancy Agreement by proving Facility Manager with official notification. The room must be vacated and left in good order, and keys must be returned and resident must leave in 24hours after the day of leave/Withdrawal or by the end occupancy date, whichever is sooner.
Residents taking a leave of absence or withdrawing from the Hostel will be charged GHC50.00 for termination plus the prorated room rate. No refund will be made after the sixth week of moving into the hostel.
4.2 The Hostel reserves the right to terminate this agreement and reposes the room/bed for failure to pay accommodation fees or for valuation of Hostel room in case of valuation there will be no refund.
5.0 ELEGIBILITY FOR RESIDENCE
5.1 Ghanaian full and part time registered students regularly and rolled at a recognize institution.
5.2 International full time and part time registered students regularly enrolled at recognized institution.
5.3 Another person who the Hostels deems appropriate to admit into residence e.g. National service person, student or internship etc.
6.0 ASSIGNMENTS
This agreement may not be assigned or transferred. The residence stays shall be occupied by not more than the number of people by the Hostel to the room. If during this term of occupancy an argument is terminated with to respect to a resident in shared occupancy unit, the remaining shall accept their roommate as assigned by the Hostel. If the roommate discourage or fail to accept the occupancy of an assigned roommate, they will be subject disciplinary action that may include termination of the agreement. If residents fail to make room for a new occupant staff may consolidate or pack possessions and access charges no change in occupancy shall be made without the prior concern of the Facility Manager. The hostel reserves the right to change the capacity of the resident’s space permanently or temporary. Reassignment to other room/bed is subject to availability, schedule, and authorization by the Facility Manager.
7.0 MOVE – IN/ MOVE OUT
7.1 A resident is required to check in and check out formally at the front desk lodge. Before moving out, a resident is required to remove all refuse and discarded materials, leaving the rooms clean and finished with original finishers refrigerators and stoves must be emptied and cleaned. All charges for additional cleaning is required, for removal of personal property, and for any lost or damage caused by the residents will be bills equally to the resident. Belongs left behind upon removal or expiration of occupancy agreement will be considered abandoned and will be disposed of by the Hostel with no liability.
7.2 When ones roommate moves out, while the other(s) remain(s), each is equally responsible for cleaning all space. If the place is not found to be in acceptable condition after the Hostels inspection, cleaning service will be provided and the resident will be held liable to do the for the entire cost.
8.0 CHARGES
All charges must be paid before occupant moves into residence. For the avoidance of doubt charges are divided into three components and these are Rent, Common Area Maintenance (CAM) and Utility. The utility component of the charges entitles the occupants to enjoy the limited amount of Water and electricity in a semester. Any extra consumption of this utilities over and above the initial deposits for a given period will be charged against the occupants. Occupants shall also pay a refundable key deposit of GH¢ 50.00 charges before moving into occupation. This may be refunded upon clearance by FDO s at the time/date of check out.
8.0 CHARGES
9.1 The Hostels reserves the right of entry to the rooms by authorized representatives for the purpose of inspection, establishment of order, repairs, maintenance, inventory correction, extermination, cleaning, or incase emergency or other reasonable purposes. Occupants shall not deny access to Hostel personnel attempting to exercise the Hostels rights or perform the Hostels obligations. Access to residents, Hostel staff and authorized contractors.
9.2 A residents privilege to have guest is subject to the following limitations;

2. The presence of guest must not resist the free access of a legitimate occupants to all common space and to any private they may have or create any situation that infringes on the right of the roommate to remain undisturbed.
3. Guest shall be received and entertain in the common areas.
4. Occupants intended to host a guest must first seek the consent from their roommates and approval of the Facility Manager of such arrangement. The stay of this guest shall not exceed 24hours.
5. In the absence of official permission of the Facility Manager, all guest and visitors shall vacate the Hostel by 10.00pm.
10.0 LOSS/ THEFT/DAMAGE
10.1 The Hostel shall not be liable for any damages or loss of personal property in the common area, outdoor areas, rooms, storage facilities or mail boxes assigned. Occupants are strongly advice to arrange for insurance coverage of property brought into residence.
10.2 Occupants are jointly liable for all damages that are caused to the rooms or any furniture/furnishing /fixtures therein. Occupants are liable for the cost of repairing damage to the rooms building. Removal of common area furniture, equipment, fixtures, or other Hostels property is forbidden. Violators will be fined GH¢50.00 per day for each item in their possession.
11.0 SOLICITING/PEDDLING
The room(s) shall be used only for study and living purpose and not as a salesroom, office, service area, or for storage of merchandise. Soliciting and peddling in the residences are prohibited, unless approved by the Facility Manager.
12.0 PETS
The presence of pets in the residence is prohibited
13.0 ANTI-SOCIAL/CRIMINAL BEHAVIOUR
Occupants shall not engage in any act which amount to nuisance or inconvenience to other user(s) of the Hostel. These acts include drumming, whistling, noise making, smoking in the rooms or inside the building, quarreling, shouting etc. or crime under the Laws of Ghana including the use and dealing in narcotic drugs or banned substances or harboring any person who engages in criminal activities. Violators shall be sanctioned including the expulsion from the Hostel without refund of the monies paid.
14.0 FIREARMS/DANGEROUS WEAPONS
Occupants shall not engage in any act which amount to nuisance or inconvenience to other user(s) of the Hostel. These acts include drumming, whistling, noise making, smoking in the rooms or inside the building, quarreling, shouting etc. or crime under the Laws of Ghana including the use and dealing in narcotic drugs or banned substances or harboring any person who engages in criminal activities. Violators shall be sanctioned including the expulsion from the Hostel without refund of the monies paid.
